Privacy Policy
Effective date: April 15, 2026
LeapCaller ("LeapCaller", "we", "us", or "our") operates the website at https://leapcaller.com and the LeapCaller power dialer, CRM, and communications platform (together, the "Service"). This Privacy Policy explains what information we collect, how we use and share it, and the rights and choices you have.
By creating an account or otherwise using the Service, you agree to the practices described here. Capitalized terms not defined in this policy have the meaning given in our Terms of Service.
LeapCaller is a business-to-business tool. When you use the Service through your employer or organization (the "Customer"), the Customer is the controller of the data processed in their workspace and we act as a processor on their behalf. If you have questions about how a particular Customer uses your information, please contact that Customer directly.
Information we collect
Information you provide to us
- Account information. Name, email address, phone number, password (hashed), profile photo, time zone, role, and organization details.
- Billing information. Plan selection, billing address, and last four digits of payment cards. Full card numbers are sent directly to our third-party payment processor and are not stored on our servers.
- Contact and CRM data. Information you upload, import, or create about your leads and contacts — names, phone numbers, email addresses, mailing addresses, notes, tags, custom fields, and pipeline stages.
- Communications content. Voice calls placed or received through the Service, call recordings (where enabled), voicemails, transcriptions, SMS/MMS messages, emails, attachments, and templates you create.
- Support and feedback. Messages you send to our support team, survey responses, and content you post in interactive features.
Information from connected accounts
If you connect a third-party account (for example, an email or calendar provider) we receive the data needed to provide that integration, which may include: your email address and profile, sent and received messages, attachments, contact lists, and folder structure. We use this data only to provide the features you request, in accordance with the terms of the connected provider. We do not sell this data, do not use it for advertising, and do not allow humans to read it except with your explicit consent, for security or abuse investigations, to comply with law, or where required for the integration to function.
Information collected automatically
- Usage data. Pages and features you use, actions you take, dialer sessions, call metadata (timestamps, duration, status, caller and called numbers), and timestamps.
- Device and log data. IP address, browser type and version, operating system, device identifiers, referring/exit pages, language, and crash diagnostics.
- Cookies and similar technologies. See "Cookies and Tracking" below.
Information from third parties
We receive metadata from our vendors, payment and dispute information from our payment processor, and email deliverability events (bounces, complaints) from sending and receiving providers. We may also receive information from public sources and identity verification or anti-fraud providers.
How we use information
We use the information we collect to:
- Provide, operate, maintain, and improve the Service, including placing and receiving calls, sending and receiving messages and emails, recording calls, generating transcripts, queuing scheduled jobs, and syncing your contacts.
- Authenticate users, secure accounts, prevent fraud and abuse, and enforce our Terms of Service.
- Process payments and manage subscriptions.
- Communicate with you about your account, billing, security, product changes, and support requests.
- Send service announcements and, where permitted, marketing communications. You can opt out of marketing emails at any time.
- Monitor performance, debug errors, and analyze how the Service is used so we can improve it.
- Comply with legal obligations and respond to lawful requests.
We do not sell your personal information, and we do not use the contents of your calls, messages, emails, or contacts to train generative AI models or for advertising.
Calls, recordings, and messaging
Call recording, voicemail capture, and SMS messaging are subject to laws that vary by jurisdiction. Many U.S. states and many other countries require all-party consent to record a call. You are responsible for complying with applicable recording, wiretap, telemarketing, do-not-call, TCPA, CAN-SPAM, CASL, and similar laws in the jurisdictions where you and the people you contact are located, and for obtaining any required consents and providing any required disclosures (such as recording notices and opt-out instructions).
Recordings, transcripts, voicemails, and message content are stored in our infrastructure on behalf of the Customer and are accessible to authorized users in that workspace.
Cookies and tracking
We use cookies, local storage, and similar technologies to keep you signed in, remember your preferences, secure the Service, and understand how it is used. Categories include:
- Strictly necessary. Authentication tokens, session state, CSRF protection, and load balancing. The Service will not function correctly without these.
- Preferences. UI settings, language, and recently used views.
- Analytics and performance. Aggregate usage and performance information used to improve the Service.
You can configure your browser to refuse cookies, but parts of the Service may not work properly if you do.
Service providers and sub-processors
We share information with vendors that help us run the Service, including providers of cloud hosting and storage, telecommunications and messaging, payment processing, email delivery, error monitoring and analytics, and customer support tooling. These vendors are bound by contract to use your information only for the purposes we direct and to protect it appropriately. We may also disclose information to integrate with services you connect (such as your email provider) and to professional advisors (lawyers, accountants, auditors).
How we share information
Beyond the service providers above, we may share information:
- With your organization. Activity in a workspace is visible to administrators and authorized users of that workspace.
- For legal reasons. To comply with applicable law, regulation, legal process, or governmental request; to enforce our agreements; to protect the rights, property, or safety of LeapCaller, our users, or others; and to detect, prevent, or address fraud, security, or technical issues.
- In a corporate transaction. In connection with a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, subject to standard confidentiality protections.
- With your consent. For any other purpose disclosed at the time you provide the information.
Data retention
We retain personal information for as long as your account is active, as needed to provide the Service, and as required to comply with our legal obligations, resolve disputes, and enforce our agreements. Call recordings, transcripts, and messages are retained according to your workspace's settings and applicable Customer instructions. When information is no longer needed, we delete or de-identify it.
If you delete your account, we will delete or anonymize personal information associated with it within a reasonable period, except where retention is required by law (for example, for tax, audit, or fraud-prevention purposes) or where information has been aggregated or de-identified.
International transfers
LeapCaller is based in the United States and our infrastructure is primarily located there. If you access the Service from outside the United States, your information will be transferred to, processed, and stored in the United States and other jurisdictions where we or our service providers operate. Where required, we use appropriate safeguards such as the European Commission's Standard Contractual Clauses to protect international transfers.
Marketing communications
You can unsubscribe from marketing emails at any time using the link in the message. Even if you opt out, we may still send you transactional or service-related communications (for example, billing receipts, security alerts, and product change notices).
Third-party sites and integrations
The Service may contain links to third-party websites or integrate with third-party services. We are not responsible for the privacy practices or content of those sites or services. We encourage you to review their privacy policies before providing them with information.
Children's privacy
The Service is not directed to children under 16 and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will take steps to delete it.
Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email and/or by posting a prominent notice on the Service before the changes take effect, and we will update the "Effective date" above. Your continued use of the Service after the changes take effect constitutes your acceptance of the updated policy.
